Account & Data Deletion
If you have an EventTRAXR account, you have the right to request deletion of your account and the personal data associated with it. This page explains exactly how the process works.
How to request deletion: Send an email from the address registered with your EventTRAXR account to Info@AdvancedCardSystems.com with the subject line "Delete my EventTRAXR account".
What to include in your request
- The email address you used to register your EventTRAXR account
- Your full name as it appears on the account
- Optional: a brief reason for deletion (this helps us improve the service)
We require the request to come from the registered email address so we can verify your identity before deleting any data. If you no longer have access to that mailbox, please email us anyway and we will arrange an alternate identity check.
What gets deleted
Once your request is processed, we permanently delete:
- Your account profile (name, email, contact information, password hash)
- Your event registration history and any exhibitor records linked to your account
- Authentication credentials and active session data
- Preferences, settings, and any profile information stored on your behalf
What we may retain (and why)
We may retain a limited subset of information after deletion, only where required by law or for legitimate operational reasons:
- Financial and transaction records — retained for the period required by applicable tax and accounting laws (typically up to 7 years in the United States).
- Anonymized usage analytics — data that cannot be linked back to you personally may be retained for service improvement.
- Legal compliance records — anything we are required to keep to comply with a legal obligation, court order, or to defend against legal claims.
Where any retention applies, the data is segregated from active systems and access is restricted.
Timeline
- Within 7 business days: we will acknowledge receipt of your deletion request by email.
- Within 30 days: we will complete the deletion and send you a confirmation email.
Alternative: deactivate without full deletion
If you simply want to stop receiving communications or pause your account without permanent deletion, mention this in your email and we will deactivate the account instead. A deactivated account can be reactivated later by contacting us.
